PERSONAL INFORMATION COLLECTION AND PROTECTION POLICY

The protection of your privacy is important to Maintenance Directe Inc. (“Maintenance Directe”). We value your trust and want to ensure it is based on an excellent knowledge and understanding of your commitment when interacting with a Maintenance Directe employee, representative, or subcontractor—whether you visit our websites (www.maintenancedirecte.net or www.maintenancedirecte.ca), use our mobile applications (Maintenance Directe Mobile), or conduct a transaction with us in person, by telephone, or through our digital platforms.
We know your privacy matters to you. Your personal information—meaning any information concerning you as a natural person that allows for your identification (e.g., name, home address, personal email address, home or personal cell phone number, date of birth) (“Personal Information”)—is valuable. Collecting this information allows us to respond promptly and adequately to your needs and, in partnership with you, to constantly improve our contribution to your quality of life.
It is therefore essential to share our privacy policy regarding the collection, use, and disclosure of the personal information you provide to us. By knowing and controlling the collection, use, and disclosure of the information you entrust to us, you will be able to make informed choices.
While it is not our intention to frequently or substantially modify the practices described below, we may do so to better serve you in the future or in light of technological developments. Therefore, we invite you to review the content regularly.
OUR PERSONAL INFORMATION PRIVACY POLICY
It is Maintenance Directe’s policy to manage the collection, use, and disclosure of personal information in accordance with the requirements of applicable laws, including the standards set forth in the Personal Information Protection and Electronic Documents Act (PIPEDA). In certain circumstances, personal information may be collected, used, or disclosed without the knowledge or consent of the individual concerned. These exceptions include, but are not limited to, personal information collected for legal or security purposes, or for the detection and prevention of fraud.
A. GENERAL PRINCIPLES
In its collection and management of personal information, Maintenance Directe commits to respecting your privacy and implementing the following 7 protection principles in accordance with the Canadian Standards Association’s Model Code for the Protection of Personal Information, except where exempt by law:
- Accountability: Designate and identify the persons at Maintenance Directe responsible for monitoring this policy.
- Identifying Purposes: Determine why personal information is being collected.
- Limiting Collection: Limit the collection of personal information to what is necessary.
- Limiting Use and Disclosure: Restrict the use and disclosure of personal information.
- Accuracy: Promote the accuracy of personal information at the time of its use or disclosure.

- Openness and Access: Provide access to personal information concerning you and allow for its rectification.

All Maintenance Directe employees are responsible for the policy and practices regarding personal information management. However, it is important that you can easily identify resource persons to contact regarding this matter. Therefore, specific employees will be assigned particular responsibilities from time to time. By emailing your comments to “info@maintenancedirecte.ca”, we will ensure they are forwarded to the designated person.
- Determine why personal information is collected
Maintenance Directe determines, before or at the time of collection, the purposes for which information is intended (and notifies you at that time), which include:
- Establishing and maintaining trusted business relationships with clients and providing quality service;
- Understanding client needs and preferences;
- Meeting legal and regulatory requirements.
Personal information collected is used only for the identified purposes, except as required by law or with your consent for a new use.

Maintenance Directe only collects the personal information necessary for the circumstances. Where applicable, Maintenance Directe indicates the mandatory or optional nature of a request for information and the consequences of choosing not to provide such information.
- Limiting the use and disclosure of personal information
Maintenance Directe only uses and discloses personal information for the purposes for which it was collected, with your consent, or as authorized by law.
- Promoting accuracy of personal information
Maintenance Directe takes reasonable steps to ensure that personal information is up-to-date and accurate at the time of use or disclosure. You are encouraged to contribute by promptly notifying Maintenance Directe of any changes to your profile or reporting any errors by accessing your profile on the website or emailing “info@maintenancedirecte.ca”.
- Protecting personal information
Maintenance Directe protects the personal information entrusted to it through security measures appropriate to the sensitivity of the information.
- Access and Rectification
Subject to legal conditions and exceptions, Maintenance Directe allows you to access the personal information it holds about you. Upon request, Maintenance Directe will inform you of the existence, use, and disclosure of your personal information to third parties. You may challenge the accuracy and completeness of the information and have it amended as appropriate.
B. INSTANCES OF PERSONAL INFORMATION COLLECTION
Generally, Maintenance Directe’s phone calls, emails, website, and mobile applications do not serve as tools for collecting personal information. However, in certain circumstances, we may ask you to register and provide your name and certain information, such as when you subscribe to a service, post comments, create an account, or sign up for a newsletter. You may always refuse; however, you may not have access to the full website or application features.
Registered information is used primarily for:
- Ensuring the relevance of products, services, and digital content;
- Evaluating and improving our offerings;
- Maintaining decorum and quality in “Comment” sections;
- Informing you of events, products, or services of interest.
We do not disclose collected personal information to third parties except as provided by law. We may use de-identified data for research or statistical purposes.
C. MINORS
If you are under 18, please obtain permission from a parent or guardian before submitting personal information.
D. COOKIES AND AUDIENCE ANALYTICS
Our website uses cookies to improve communication between our server and your browser. No personal information is stored in cookies. You may disable cookies in your browser settings, though some website functions may become unavailable.
Our mobile apps may use analytics software to obtain usage data and traffic patterns. We may also collect “Navigation Information” (IP address, unique device ID, history, time spent, and geolocation). This may be shared in a de-identified, aggregated format with authorized third parties (content partners/contest organizers) who are bound by confidentiality agreements.
E. ONLINE BEHAVIORAL ADVERTISING
Maintenance Directe may use Navigation Information to establish a user profile and select advertisements that match your interests.
- To opt-out on iPad: Settings > Privacy > Advertising > Limit Ad Tracking (toggle to green).
- To opt-out on Android: Settings > Google > Ads > Opt out of Ads Personalization.
F. USE OF ARTIFICIAL INTELLIGENCE SERVICES
These features are only available if the AI functionality is enabled for your company. To activate or deactivate this, please contact us.
Certain features of our software rely on AI services provided by third parties, such as OpenAI. When using these features, data you input (text, images, audio) may be transmitted to OpenAI. This data may be processed and hosted outside of Quebec, including in the United States.
We limit transmission to the information strictly necessary to provide the service and apply appropriate security measures. This data is not resold or used for purposes other than those intended by our software.
You retain your rights under the Act respecting the protection of personal information in the private sector (Law 25), including access, rectification, and withdrawal of consent. To exercise these rights, contact our Privacy Officer at the address provided in this policy.
